The Black Women’s Health Imperative (BWHI) is the only national organization dedicated solely to advancing the health and well-being of Black women and girls. For over 40 years, BWHI has drivenchange through evidence-based wellness programs, policy and advocacy, and research translation. Centered on health equity and racial justice, BWHI partners with communities, policymakers, and leaders to address the most pressing health challenges facing Black women and to create lasting, systemic impact.

Position Summary

We seek a highly skilled and mission-driven Senior Executive Administrator to serve as a critical partner to our CEO. This role is a critical extension of the CEO’s capacity ensuring priorities are advanced, relationships are nurtured, and the organization operates with precision. The ideal candidate will anticipate needs, solve problems before they arise, and thrive in a dynamic environment where priorities shift rapidly, with every action taken contributing directly to advancing health equity and systemic change.

Key Responsibilities

Executive Support
Manage complex calendars, coordinate meetings, and optimize the CEO’s time for maximum impact, ensuring seamless logistics for all engagements.
Prepare high-quality briefing materials, presentations, and correspondence for Board, donor, and external meetings.
Coordinate and prepare for regular CEO–Executive Vice President check-ins, ensuring clear agendas, relevant materials, and timely follow-up on action items.
Attend select meetings to capture discussion points, track action items, and ensure follow-through with relevant stakeholders.
Screen and prioritize communications, managing routine matters independently and escalating as needed.
Arrange domestic travel, prepare detailed itineraries, and manage related expense reporting and vendor payments.
Serve as liaison between the CEO and internal staff, Board members, donors, and external stakeholders, anticipating needs and resolving issues proactively.

Board Support
Prepare Board of Directors and Executive Committee materials, including agendas, reports, presentations, and meeting minutes. (“The Board Menu”)
Coordinate Board meeting logistics, including scheduling, venue or virtual arrangements, and material distribution.
Track and follow up with the CEO and relevant internal stakeholders on Board and committee action items to ensure timely progress and completion
Serve as the primary administrative point of contact for Board members, ensuring communications are professional, timely, and confidential.

Fundraising & Stakeholder Engagement
Support fundraising activities by coordinating donor meetings, preparing briefing materials, and managing stewardship follow-up.
Assist in planning and executing donor and stakeholder events involving the CEO.
Maintain and cultivate relationships with key donors, partners, vendors, and service providers on behalf of the CEO.
Represent the CEO’s office professionally and in alignment with BWHI’s mission and values in all interactions.

Special Projects & Organizational Priorities
Coordinate high-priority projects and initiatives assigned by the CEO.
Partner with leadership and cross-functional teams to advance strategic initiatives requiring CEO involvement.
Monitor deadlines and deliverables to ensure alignment with organizational priorities.

Administrative Excellence
Maintain accurate and confidential records, files, and databases to support CEO operations.
Ensure all internal processes and workflows related to the CEO’s office are organized, efficient, and well-documented.
Identify opportunities to improve systems and tools that enhance the efficiency of the CEO’s office.
Facilitate seamless coordination by ensuring key information, deliverables, and communications flow effectively between the CEO’s office and both internal teams and external stakeholders
Qualifications & Experience Required
Bachelor’s degree or equivalent combination of education and experience.
8+ years of high-level executive support to a CEO, Executive Director, or other senior leader, preferably in a non-profit, advocacy, philanthropic, or mission-driven organization.
Prior experience working closely with senior leadership on cross-functional initiatives and strategic priorities
Proven ability to manage complex calendars, travel, meetings, and communications for senior executives, including board governance activities and donor engagement.
Exceptional written and verbal communication skills, with the ability to draft, edit, and proofread high-quality materials.
Strong organizational skills with meticulous attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Advanced proficiency in Microsoft Office Suite, Google Workspace, and document management systems; experience with Monday.com, Canva, Adobe Acrobat/Creative Suite, and Salesforce or other CRM platforms is a plus.
Ability to exercise discretion, handle confidential information, and work effectively with individuals from diverse backgrounds.

Preferred
Experience in health advocacy, public health, healthcare, or related sectors.
Familiarity with fundraising processes, donor stewardship, and project management tools.

Physical Requirements and Work Environment
Physical Requirements:
Primarily computer-based work with extended periods of sitting.
Occasional light lifting (up to 15 lbs.) for materials or event setup.
Ability to travel domestically up to 25% of the time, including overnight trips.

Work Environment & Availability:
Location: Fully remote; must maintain a quiet, professional home office environment
Work Hours: 9:00 AM 5:00 PM EST, Monday through Friday
Standard work hours are 9:00 AM 5:00 PM EST, Monday through Friday, with availability for core hours between 10:00 AM 3:00 PM EST.
Flexibility to work outside standard hours on occasion for urgent matters, events, or time-sensitive activities.

The estimated base compensation range for this role is $70,000 $80,000. Actual base pay for a successful candidate will consider skills, experience and location.
